Background:

The Client is a leading Dental Practice Management Company that outsourced its Indexing work to Medusind. With more than 50 clinics Medusind was asked to index and maintain files for this practice.

Key Challenges:

• The EOBs were maintained in files, based on Deposit dates. Individual patient EOBs could not be retrieved easily in the long run if they are stored in this manner.
• Rosters, X-Rays, Perio-Charts, Denials, Mail, Pre-Authorization Correspondence pertaining to individual patients could not be pulled up when required easily.

The Medusind Approach & Solution:

• MSI Indexed EOBs on the basis of Patient Account #, Office #, Date of Deposit, Insurance Name. This expanded the search process of retrieving the required EOB.
• The EOB were also separated between Primary and Secondary carrier.
• Other Correspondence like Rosters, X-rays, Perio-Charts, Denials, Pre-Authorization, Mails etc were also indexed on the basis of Patient Account #, Office # & Insurance Name.

Benefits to Client:

• EOBs were indexed and ready for use, within 2 days from Date of deposit. This also helped in follow-ups and analysis of claims that were denied or partially / under paid.
• EOBs listed as Primary and Secondary were useful when submitting claims to the patient's dual insurance after one of them has made payments.
• Other Correspondence like X-rays, Perio-Charts, Denials, Mails, Pre-Authorization etc were indexed on the same day that they were placed by the client for indexing. This helped speed up the re-submission process of denied claims as the required documentation was easily available.
• Medusind also indexed the Patient Eligibility Rosters, which was beneficial for verifying Eligibility of HMO Patients.
