30 Years Strong: Medusind and CFPA’s History of Success

30 Years Strong: Medusind and CFPA’s History of Success

Read time: 8 minutes

Medusind and Central Florida Pathology Associates (CFPA) have a unique relationship with a history of success that spans a generation. For over 35 years, Medusind—a national leader in medical revenue cycle management—has supported CFPA’s revenue and growth goals, resulting in a remarkable business partnership built on mutual respect, trust, and transparency.

While Medusind team members focus on back-office processes, the physicians at Central Florida Pathology Associates concentrate on superior patient care. Sound too good to be true? Let’s dive into what makes this business relationship so successful.

A Full-Service Medusind Ecosystem🔗

Medusind provides comprehensive support to CFPA so the group’s daily operations run smoothly, reducing the administrative burden and improving the patient experience. But Medusind doesn’t just help with medical billing, coding, and credentialing. As the full-service provider for Central Florida Pathology Associates, Medusind transcends the bounds of traditional medical billing services and assumes the entirety of the group’s back-office practice management operations, streamlining processes for maximum profitability and sustainability.

On top of end-to-end medical RCM support, the dedicated Medusind team manages the organization’s daily operations, including finance, human resources, scheduling of shareholder meetings, and running board meetings. Throughout any given day, Medusind interacts with CFPA employees, vendors, and service providers, such as its insurance agents, CPAs, pension administrators, and even hospital staff.

Medusind provides support to every facet of the group’s Human Resources division, including:

  • Writing job descriptions for open positions within the group
  • Scheduling interviews for candidates chosen by CFPA
  • Organizing travel to and from the airport for out-of-state providers who are interviewing
  • Managing new hire onboarding and paperwork, including physician credentialing
  • Educating employees about systems training and group benefits
  • Liaising with the group’s pension advisors to manage pension contributions
  • Working with CFPA’s insurance agents to establish health insurance and disability and malpractice coverage.

With Medusind’s support, Central Florida Pathology Associates can focus on selecting the best candidates to interview and hire without worrying about all of the paperwork and logistics. This has helped the group expand to 35 combined members—22 physicians and 13 non-physician employees.

Leveraging Technology for Scalability🔗

As another example of back-office support, Medusind schedules providers at different CFPA locations based on patient procedures. As the group expanded, it was important for providers to have immediate access to their schedules to provide the very best patient care. It was clear that CFPA needed to leverage technology to support its growth goals.

Together, Medusind and Central Florida Pathology Associates created an automated scheduling system for CFPA providers to access via a mobile app. Medusind collaborated with the software firm QGenda, which develops scheduling systems for healthcare providers, to customize the program to meet CFPA’s intricate rules and requirements.

All Central Florida Pathology Associates providers can now see their daily schedule and request their vacation within the QGenda mobile app. Medusind consistently works with CFPA to update the automated system to adjust to the group’s constantly shifting environment.

How Medusind Delivers a Decisive Competitive Advantage🔗

Since the partnership first began in 1989, Medusind has played an integral part in Central Florida Pathology Associate’s evolution and growth. In 2000, CFPA was comprised of 8 pathologists, Over the past 25 years, it has grown to 22 pathologists and over 20 locations.

Dr. Charanjeet Singh, former president of the CFPA, commented: “Medusind has been an incredibly valuable partner, not only for billing, but also for quality monitoring for Central Florida Pathology. We appreciate the evidence-based insights for billing, MIPS metrics, and prompt communication on all matters. We are grateful for engagement by Medusind’s staff at all levels with the hospital administration on critical issues, and with our payers for contract negotiations.”

“Over the last few years, as we’ve gotten much bigger, a lot more complicated, Medusind has done an excellent job of managing denials and become more proactive in reducing our accounts receivable,” said Dr. David Ward. “Automation has also sped up billing processes.”

When the group transitioned practice management systems from Cerner to EPIC, the Medusind team was there with their expertise and knowledge of both systems to make sure nothing fell through the cracks. Dr. Edward Jones mentioned, “When we were challenged with upgrading our electronic medical records, Medusind was very diligent with trying to find lost codes and bills that hadn’t gone out.”

Transitioning systems can be complex, depending on the specialty and the size of the group. Dr. David Ward cited Medusind’s support during the transition to the EPIC system: “When we at Advent Health changed over to EPIC, everybody in pathology in Florida was having those problems, but I think we came out ahead of most other pathology groups for billing because of Medusind’s proactive stance and making sure that they were on top of things.”

Medusind Goes the Extra Mile to Increase CFPA Revenue🔗

Since 2000, the Medusind leadership team has reported that CFPA has experienced 275% growth, and monthly collections have increased $1M due to clean claim submission and an increased First Pass Resolution rate (FPRR). As Central Florida Pathology Associates has grown, Medusind has scaled services seamlessly to match the group’s needs.

CFPA’s patient cases have also grown in complexity, along with their billing, noted Dr. Fanaian. He said of Medusind, “They do a great job with our billing. They have our full trust and confidence, and we have a great relationship with them professionally, and also personally with the individuals who work there.”

Central Florida Pathology Associates providers shared specific examples of how the dedicated Medusind team goes above and beyond to address unique or unexpected revenue cycle challenges.

Dr. Naim Fanaian noted, “The EPIC transition created new, complex, and very time-consuming problems for Medusind. In addition, Medusind instituted an internal audit system to evaluate its own performance and created a dashboard to monitor the numbers for continuous improvement. This communicates to CFPA the value Medusind is bringing, and we regularly follow the dashboard Medusind has created and its metrics. We really appreciate the introduction of this performance analytic, because this new dashboard Is lending a lot of transparency to our financial performance. Medusind has even presented the dashboard to the entire CFPA shareholder meeting.”

Medusind also keeps Central Florida Pathology Associates compliant with the Merit-based Incentive Payment System (MIPS)—a program that rewards Medicare providers for improving the quality and efficiency of their care. Dr. Edward Jones praised Medusind for “keeping us on track to either not lose money or possibly make money in that process.”

When CFPA noticed that two specific types of cases weren’t being billed—tissue typing lab work and cases deemed to be research cases—it raised the issue with Medusind. Upon further investigation, Medusind learned that the group was allowed to bill for these charges, and this opened a new revenue stream for CFPA.

Dr. Fanaian showed his appreciation for the Medusind team by saying, “Medusind has done a great job of pushing back against insurance companies when we have the right to bill for the professional component and fighting for us in that arena.”

Enabling CFPA To Achieve Its Core Mission🔗

Providers at Central Florida Pathology Associates were asked to rate the most critical factors in sustaining practice success over time.

“First and foremost is just excellent patient care,” answered Dr. Fanaian. “I think what all pathologists have front of mind every day is doing the absolute best that we can for our patients. In terms of CFPA’s business success, it’s been invaluable to have a partner such as Medusind to handle all our administrative details.”

Dr. David Ward added: “As pathologists, we’re not the best when it comes to handling the billing side of the business and navigating these payers and new compliance and regulation rules. Having a partner who stays on top and keeps us in line and helps us adapt is very helpful.”

Concerning Medusind’s high-touch approach to service, Dr. Fanaian remarked: “They’re very responsive. When you send them an email or call them, they’ve always been very responsive, getting right back to us. That’s been very helpful.”

Choosing the Right Revenue Cycle Partner🔗

Providers at Central Florida Pathology Associates were asked what advice they would give to other practices seeking to build strong partnerships that support their growth by managing their revenue cycle.

“First, you have to find somebody that you trust,” said Dr. Deborah Thoni. “That’s the most important factor. You also want to find somebody who understands your specialty and your subspecialty, so that they understand the intricacies of billing and requirements for MIPS and changing regulations. This is all so you can focus on delivering excellent patient care. Medusind has been a good partner because they go beyond just basic billing.”

Choosing the right revenue cycle management (RCM) partner is not just a business decision—it’s a long-term investment in the financial health and operational success of your organization. As discussed here, a full-service RCM provider should be more than just a vendor; it should:

  • Be a trusted extension of your team and align with your growth goals
  • Foster efficiency, compliance, and financial stability
  • Ensure providers can focus on delivering quality patient care
  • Adapt to industry changes
  • Drive continuous revenue optimization
  • Reduce administrative burden and complexities.
